Getting Started

What is Kairos?

Kairos is an AI-powered veterinary radiology reporting platform that helps you create faster, more consistent reports. It analyzes your findings and generates professional conclusions and recommendations, while you maintain full control over the final report.

Step 1: Create Your Account

  1. Visit the registration page
  2. Enter your email, username, and create a secure password
  3. Complete your profile with your veterinary credentials
  4. Verify your email address to activate your account

Step 2: Set Up Your Preferences

  1. Go to Settings from your dashboard
  2. Choose your preferred report format (numbered, bullet points, or paragraph)
  3. Select your tone preference (conservative, neutral, or detailed)
  4. Set your preferred tense (present or past)
  5. Choose your AI model (Kairos-FT recommended for veterinary radiology)

Creating Your First Report

Step 1: Start a New Report

  1. Click "New Report" from your dashboard or navigation menu
  2. You'll be taken to the report creation form

Step 2: Enter Basic Information

  1. Modality: Select the imaging type (Radiography, Ultrasound, CT, MRI, etc.)
  2. Species: Choose the patient species (Canine, Feline, Equine, etc.)
  3. History: Enter relevant clinical history and presenting complaints
Tip: The more specific your history, the better the AI can tailor its recommendations.

Step 3: Enter Your Findings

  1. Click in the "Findings" text area
  2. Type or dictate your radiological observations
  3. Be as detailed and systematic as possible
  4. Use proper anatomical terminology
Good Example:
"The cardiac silhouette is normal in size and shape. The pulmonary vessels are normal. There is a diffuse, mild interstitial pattern throughout both lung fields. The pleural space is clear. No evidence of pneumothorax or pleural effusion."
Needs More Detail:
"Heart looks normal. Lungs have some changes. No fluid."

Step 4: Generate AI Analysis

  1. Click the "Generate Report" button
  2. Wait for the AI to process your findings (usually 5-10 seconds)
  3. Review the generated conclusions and recommendations

Step 5: Review and Edit

  1. Carefully review all AI-generated content
  2. Edit conclusions and recommendations as needed
  3. Add any additional clinical insights
  4. Ensure all content aligns with your professional judgment
Important: Always review and verify AI-generated content. You are responsible for the final report.

Step 6: Save Your Report

  1. Click "Save Report" when satisfied with the content
  2. Your report will be saved to your dashboard
  3. You can access it anytime for reference or further editing

Voice Dictation Features

Echo Mode - Audio Recording Dictation

Echo mode records your entire dictation and processes it with AI for maximum accuracy.

Echo Mode Features:
  • Records complete audio
  • AI-powered transcription via OpenAI Whisper
  • Automatic medical terminology cleanup
  • Initial display text is temporary
  • Final processing when recording stops
Best for:
  • Complete report dictation in one session
  • Long, flowing descriptions
  • Maximum transcription accuracy
  • Complex medical terminology
  • Structured, comprehensive findings
  1. Click the "Echo" button or press Ctrl+D
  2. Grant microphone permission when prompted by your browser
  3. Speak your entire report in a natural, flowing manner
  4. Don't worry about the temporary text shown during recording
  5. Click "Echo" again or press Ctrl+D to stop and process
  6. Wait for AI processing to complete for final, accurate transcription

Pulse Mode - Live Speech-to-Text

Pulse mode provides real-time transcription with immediate on-screen text display.

Pulse Mode Features:
  • Real-time speech recognition
  • Immediate text display
  • Cursor positioning control
  • Mix dictation with typing
  • Manual text processing
Best for:
  • Interactive report building
  • Moving between report sections
  • Adding notes to existing text
  • Quick dictation snippets
  • Hybrid typing and speaking workflow
  1. Click the "Pulse" button or press Ctrl+Shift+D
  2. Position your cursor where you want text inserted
  3. Speak naturally - text appears immediately on screen
  4. Move cursor to different locations as needed
  5. Mix typing and dictation freely
  6. Use "Process Text" button when ready for AI cleanup

Process Text Button - AI Text Enhancement

After dictation (especially with Pulse mode), use the Process Text button to enhance your text with AI.

Clean Up Text:
  • Removes dictation artifacts ("um", "uh")
  • Fixes spoken corrections ("scratch that")
  • Corrects grammar and punctuation
  • Normalizes medical terminology
  • Maintains original meaning
Expand Description:
  • Converts shorthand to full descriptions
  • Adds appropriate medical detail
  • Expands anatomical references
  • Uses modality-specific terminology
  • Maintains clinical accuracy
Pro Tip: You can select both options to first clean up dictation artifacts, then expand abbreviated descriptions for comprehensive enhancement.
  1. Complete your dictation using Echo or Pulse mode
  2. Click the dropdown arrow next to "Process Text"
  3. Select your processing options:
    • Clean Up Text: For removing dictation errors
    • Expand Description: For adding medical detail
    • Both: For comprehensive enhancement
  4. Click "Apply Selected Options"
  5. Review the enhanced text and make any final adjustments

Best Practices for Voice Dictation

Echo Mode Best Practices:
  • Speak in complete, flowing sentences
  • Use consistent pacing throughout
  • Dictate the entire report in one session
  • Don't edit during recording - wait for processing
  • Ideal for systematic, thorough descriptions
Pulse Mode Best Practices:
  • Position cursor before speaking
  • Use for adding specific details to sections
  • Mix typing and dictation as needed
  • Perfect for iterative report building
  • Use Process Text for final polish
Remember: Both modes require microphone permission. Make sure you're in a quiet environment for best results.

Voice Commands for Templates

  1. Click the "Voice Commands" button
  2. Say commands like:
    • "Load normal heart" - inserts heart template
    • "Insert liver findings" - adds liver template
    • "Load normal abdomen" - inserts abdominal template
  3. The system will search for matching templates and insert the best match
Tip: Voice commands work best with specific organ names and common findings.

Global Keyboard Shortcuts

Use these shortcuts from anywhere in the application:

  • Ctrl+D (or Cmd+D): Echo mode - Start/stop audio recording dictation
  • Ctrl+Shift+D (or Cmd+Shift+D): Pulse mode - Toggle live speech-to-text
  • Ctrl+Shift+V (or Cmd+Shift+V): Start/stop voice commands for templates
  • All shortcuts work in findings, history, and other text areas

Using Templates

What Are Templates?

Templates are pre-written text snippets for common findings, normal anatomy descriptions, and standard recommendations. They help you work faster and maintain consistency across reports.

Using Public Templates

  1. While creating a report, scroll down to see available templates
  2. Templates are filtered by your selected modality
  3. Click on any template to insert it into your findings
  4. Common templates include:
    • Normal organ descriptions (heart, liver, kidneys)
    • Common pathological findings
    • Standard recommendations

Creating Custom Templates

  1. Go to "Templates" from your dashboard
  2. Click "New Template"
  3. Enter a descriptive title
  4. Choose the appropriate category and modality
  5. Write your template content
  6. Add relevant tags for easy searching
  7. Save your template

Managing Templates

  • Edit: Click the pencil icon to modify existing templates
  • Hide: Hide public templates you don't use
  • Search: Use the search function to find specific templates quickly
  • Usage tracking: See which templates are used most frequently

Advanced Features

Report Refinement

  1. After generating a report, use the "Regenerate" button
  2. Adjust tone, tense, or model settings before regenerating
  3. Compare different versions to find the best fit

Auto-Save Feature

  • Your work is automatically saved as you type
  • Never lose progress due to browser issues
  • Draft reports are preserved until you create a final report

Dashboard Management

  • View reports: Access all your saved reports
  • Search: Find specific reports by content or date

  • Export: Download reports for external use
